***The fourth clinic is to be used exclusively as a reading session, if accepted by the MMEA Orchestra Vice-President. (If a reading session is not accepted, the fourth clinic session will not be scheduled.)
*NOTE: Exhibitor “Expand Your Visibility” Sponsorships are not applied to the clinician/presenter agreement terms.

2027 In-Service Workshop/Conference

Clinic/Session Workflow
For each Clinic/Session assigned, the MMEA Board Member will:
- Secure a clinician/presenter.
- Negotiate details included in the Independent Contractor Agreement.
- Submit the Clinic/Session Title Form for each session.
- Submit the Independent Contractor Agreement for each clinician/presenter.
- Submit the Clinic/Session Information Form for each session.
- Submit the Conference Lodging Request for each clinician/presenter.
- Submit the Business Meeting Request Form. (If applicable)
- Submit clinic/session promotional videos.
- Submit Clinic/Session handouts/resources.
- Follow-Up: Submit clinician expenses/reimbursement.
- Maintain relevant and timely communication with clinicians/presenters.
- NOTE: MMEA Administration assumes “business” communications with all clinicians/presenters.
- Clinic/Session Information, Travel Arrangements, Lodging Arrangements, etc .
2026-2027 DEADLINES
- August 1: Clinic/Session Title Form
- September 15: Independent Contractor Agreements
- October 1: Clinic/Session Information Form.
- October 1: Lodging Requests for clinicians/presenters.
- October 1: Business Meeting Requests.
- December 15: Submit clinic/clinician promotional video.
- January 15, 2027: Clinic/Session handouts/resources.
- February 15, 2027: Submit clinician expenses/reimbursement.

2027 CLINIC/SESSION TITLE FORM
- Submitted by the MMEA Board Member that is responsible for the clinic/session.
- DEADLINE: August 1
Complete the following form for each 2027 conference clinic/session.
2027 CLINICIAN CONTRACT/AGREEMENT FORM
- Submitted by the MMEA Board Member that is responsible for the clinic/session.
- Includes uploading the appropriate Independent Contractor Agreement. (Completed -NO signatures)
- DEADLINE: SEPTEMBER 15
Complete the following form for each 2027 conference clinic/session.
2027 CLINIC/SESSION INFORMATION FORM
- Submitted by the MMEA Board Member that is responsible for the clinic/session.
- DEADLINE : OCTOBER 1

2027 CONFERENCE LODGING FORM
- Board Member Lodging
- Submitted by each BOD member.
- DEADLINE: SEPTEMBER 1
- Clinician/Presenter Lodging
- Submitted by the MMEA Board Member that is responsible for the clinic/session.
- DEADLINE: OCTOBER 1

2027 PROMOTIONAL VIDEO & SESSION HANDOUTS/MATERIALS FORM

- Submitted by the MMEA Board Member that is responsible for the clinic/session.
- Clinican/Presenter provides the Promotional Video and Session Handouts/Materials to the appropriate board member prior to the submission deadline.
- Promotional Videos will be uploaded to MMEA Social Media.
- Handouts/Materials will be uploaded to the MMEA Conference App.
- Clinican/Presenter provides the Promotional Video and Session Handouts/Materials to the appropriate board member prior to the submission deadline.
- Complete the following form for each 2027 conference clinic/session.

- Submitted by the MMEA Board Member that is responsible for the clinic/session.
2027 CHECK REQUEST/REIMBURSEMENT FORM
- Submitted by the MMEA Board Member that is responsible for the clinic/session.
- Includes applicable receipts/documentation.
- Reimbursements will be made per MMEA Board Policy.
- DEADLINE: FEBRUARY 15, 2027
