Conference Details | Board Members
- Conference Registration: MMEA Board Members do NOT register for the conference via online registration.
- Registration for all BOD members will be completed by the MMEA Secretary/Treasurer.
- All conference registration materials, name badges, etc., will be available for pick-up at the Wednesday evening BOD dinner at the conference.
- Conference Lodging: The MMEA Secretary/Treasurer will secure lodging reservations for all BOD members.
- BOD members must complete the TTA Conference Lodging Form (below) .
NOTE: MMEA District Presidents/Advisory Board Members | MMEA secures the lodging reservation, but does NOT cover lodging expenses.
Lodging expenses are the responsibility of the respective BOD member.

*Clinic is to be formatted as an informational update on current topics relevant to the Missouri State High School Activities Association.
*NOTE: Exhibitor “Expand Your Visibility” Sponsorships are not applied to the clinician/presenter agreement terms.

Clinic/Session Workflow
For each Clinic/Session assigned, the MMEA Board Member will:
- Secure a clinician/presenter.
- Negotiate details included in the Independent Contractor Agreement.
- Submit the Clinic/Session Title Form for each session.
- Submit the Independent Contractor Agreement for each clinician/presenter.
- Submit the Clinic/Session Information Form for each session.
- Submit the Conference Lodging Request for each clinician/presenter.
- Submit the Business Meeting Request Form. (If applicable)
- Submit clinic/session promotional videos.
- Submit Clinic/Session handouts/resources.
- Follow-Up: Submit clinician expenses/reimbursement.
- Maintain relevant and timely communication with clinicians/presenters.
- NOTE: MMEA Administration assumes “business” communications with all clinicians/presenters.
- Clinic/Session Information, Travel Arrangements, Lodging Arrangements, etc .

- October 1: Lodging Requests for clinicians/presenters.

- December 15: Submit clinic/clinician promotional video.
- January 15, 2025: Clinic/Session handouts/resources.
- February 15, 2025: Submit clinician expenses/reimbursement.

2025 CLINIC/SESSION TITLE FORM
- Submitted by the MMEA Board Member that is responsible for the clinic/session.
- DEADLINE: August 1
Complete the following form for each 2025 conference clinic/session.
2025 CLINICIAN CONTRACT/AGREEMENT FORM
- Submitted by the MMEA Board Member that is responsible for the clinic/session.
- Includes uploading the appropriate Independent Contractor Agreement. (Completed -NO signatures)
- DEADLINE: SEPTEMBER 15
Complete the following form for each 2025 conference clinic/session.
2025 CLINIC/SESSION INFORMATION FORM
- Submitted by the MMEA Board Member that is responsible for the clinic/session.
- DEADLINE : OCTOBER 1
Complete the following form for each 2025 conference clinic/session.
2025 CONFERENCE LODGING FORM
- Board Member Lodging
- Submitted by each BOD member.
- DEADLINE: SEPTEMBER 1
- Clinician/Presenter Lodging
- Submitted by the MMEA Board Member that is responsible for the clinic/session.
- DEADLINE: OCTOBER 1
Complete the following form for each 2025 conference clinician/presenter/guest.
2025 SESSION HANDOUTS/MATERIALS FORM
- Submitted by the MMEA Board Member that is responsible for the clinic/session.
- Clinican/Presenter provides handouts/materials to board member prior to the deadline.
- Handouts/Materials will be uploaded to the MMEA Conference App.
- DEADLINE: JANUARY 15, 2025
Complete the following form for each 2025 conference clinic/session.
2025 CHECK REQUEST/REIMBURSEMENT FORM
- Submitted by the MMEA Board Member that is responsible for the clinic/session.
- Includes applicable receipts/documentation.
- Reimbursements will be made per MMEA Board Policy.
- DEADLINE: FEBRUARY 15, 2025
